OVERVIEW
We are actively pooling Real Estate Virtual Assistants to support a wide range of real estate professionals, including licensed agents, brokerages, wholesalers, and real estate investors.
While business models may differ (agent-focused vs. investment-focused), the core support functions are similar:
administrative coordination, CRM management, lead follow-up, communication support, and transaction or deal pipeline organization.
This role is ideal for candidates who are organized, process-driven, comfortable with real estate terminology, and able to adapt to different client workflows using SOPs and training.
Prior real estate experience is a strong plus, but candidates with sales support, admin, customer service, or operations backgrounds are also encouraged to apply and can be trained.
INTERNAL TRAINING REQUIREMENT
To be considered for active Real Estate VA placements, candidates will complete a short, self-paced internal training provided by our company.
This training includes:
Overview of Real Estate VA responsibilities
Key differences between agent workflows and wholesaler/investor workflows
Introduction to common real estate CRMs and lead pipelines
Best practices for lead follow-up, data accuracy, and communication
Understanding transaction vs. deal-sourcing processes
This ensures all Real Estate VAs enter client engagements with a baseline understanding of both sides of the real estate business.
KEY RESPONSIBILITIES
Administrative & CRM Support
Maintain and update CRM records accurately
Log calls, notes, tasks, follow-ups, and pipeline stages
Keep lead databases clean and organized
Support recurring follow-up workflows
Lead Follow-Up & Communication
Assist with inbound and outbound lead follow-up
Schedule appointments, showings, or discovery calls
Communicate professionally with clients, agents, sellers, buyers, or partners
Follow client-provided scripts and SOPs
Transaction / Deal Support
Support transaction coordination for agents (documents, timelines, updates)
Support deal sourcing workflows for wholesalers/investors (research, outreach, qualification)
Assist with organizing files, contracts, and property details
Assist with drafting real estate related documents at clients request
Operations & Workflow Support
Manage calendars, reminders, and task lists
Assist with marketing support (listing updates, simple outreach, email coordination)
Follow structured SOPs and help maintain consistency across workflows

QUALIFICATIONS
Experience in real estate, sales support, admin, or customer service roles
Strong written and verbal English communication
Comfortable using CRMs, calendars, and tracking tools
Able to manage multiple tasks and follow deadlines
Prior real estate experience is a plus but not required
Willingness to learn agent-specific or investor-specific workflows

SUMMARY
We are building an ongoing pool of Real Estate Virtual Assistants to support agents, wholesalers, investors, and real estate teams with administrative coordination, lead management, CRM support, and workflow execution.
Candidates will complete a short internal training to understand real estate workflows across multiple business models before being considered for active placements.
